Website Visitors

LimelightQuest.com’s purpose in collecting non-personally identifying information is to better understand how LimelightQuest.com’s visitors use its website.

In each case, LimelightQuest.com collects such information only insofar as is necessary or appropriate to fulfill the purpose of the visitor’s interaction with LimelightQuest.com. LimelightQuest.com does not disclose personally-identifying information other than as described below. And visitors can always refuse to supply personally-identifying information, with the caveat that it may prevent them from engaging in certain website-related activities, like entering the Limelight Quest Competition.
All of the information that is collected on LimelightQuest.com will be handled in accordance with GDPR legislation.
What we collect and store through our Event, Venue, and Organizer plugin
- Venue information: name, address, city, country, state, postal code, phone, website, geographical coordinates (latitude and longitude)
- Organizer information: name, phone, website, email
- Event information: website, cost, description, date, time, image
API Keys
We make use of certain API keys, in order to provide specific features.
These API keys may include the following third party services: Google Maps, Meetup, PayPal, and Eventbrite (API key, auth URL and Client Secret).
What we collect and store through our eCommerce plugin
When you purchase from us, we’ll ask you to provide information including your name, billing address, email address, phone number, credit card/payment details and optional account information like username and password. We’ll use this information for purposes, such as, to:
- Send you information about your account and registration
- Respond to your requests, including refunds and complaints
- Process payments and prevent fraud
- Set up your account for our store
- Comply with any legal obligations we have, such as calculating taxes
- Improve our offerings
- Send you marketing messages, if you choose to receive them
- If you create an account, we will store your name, address, email and phone number, which will be used to populate the checkout for future orders.
We generally store information about you for as long as we need the information for the purposes for which we collect and use it, and we are not legally required to continue to keep it. For example, we will store order information for 7 years for tax and accounting purposes. This includes your name, email address and billing and shipping addresses.
We will also store comments or reviews, if you choose to leave them.
Who on our team has access
Members of our team have access to the information you provide us. For example, both Administrators and Shop Managers can access:
- Order information like what was purchased and when it was purchased, and
- Customer information like your name, email address, and billing and shipping information.
- Our team members have access to this information to help fulfill orders, process refunds and support you.
What we share with others

We accept payments through PayPal and Stripe. When processing payments, some of your data will be passed to Stripe or PayPal, including information required to process or support the payment, such as the purchase total and billing information.

LimelightQuest.com discloses potentially personally-identifying and personally-identifying information only to those of project administrators, employees, contractors, and affiliated organizations that (i) need to know that information in order to process it on LimelightQuest.com’s behalf or to provide services available through LimelightQuest.com, and (ii) that have agreed not to disclose it to others.

We use the information you provide to register for an account, attend our events, receive newsletters, use certain other services, or participate in Limelight Quest Academy in any other way.

We would like to send you email marketing communication which may be of interest to you from time to time. If you have consented to marketing, you may opt out later.
You have a right at any time to stop us from contacting you for marketing purposes. If you no longer wish to be contacted for marketing purposes, please reply to the email with Unsubscribe in the subject.

We rely on one or more of the following processing conditions:

Access to data

Retention of personal information
We will retain your personal information on our systems only for as long as we need to, for the success the programs that support LimelightQuest.com. We keep contact information (such as mailing list information) until a user unsubscribes or requests that we delete that information from our live systems. If you choose to unsubscribe from a mailing list, we may keep certain limited information about you so that we may honor your request.
LimelightQuest.com will not delete personal data from logs or records necessary to the operation, development, or archives of Limelight Quest Academy.
LimelightQuest.com shall maintain Limelight Quest competitor data for 3 years to better track and foster community growth, and then automatically delete non-essential data collected via registration. Competitor names and email addresses will be retained indefinitely, to preserve our ability to respond to code of conduct reports.
On LimelightQuest.com sites, banking/financial data collected as part of a reimbursement request is deleted from LimelightQuest.com 7 days after the request is marked paid. The reason for the 7-day retention period is to prevent organizers having to re-enter their banking details if a wire fails or if a payment was marked “Paid” in error. Invoices and receipts related to Limelight Quest Competition expenses are retained for 7 years after the close of the calendar year’s audit, by instruction of our financial consultants (auditors & bookkeepers).
When deletion is requested or otherwise required, we will anonymise the data of data subjects and/or remove their information from publicly accessible sites if the deletion of data would break essential systems or damage the logs or records necessary to the operation, development, or archival records of the Limelight Quest Competition.
Rights in relation to your information
You may have certain rights under data protection law in relation to the personal information we hold about you. In particular, you may have a right to:
- request a copy of personal information we hold about you;
- ask that we update the personal information we hold about you, or independently correct such personal information that you think is incorrect or incomplete;
- ask that we delete personal information that we hold about you from live systems, or restrict the way in which we use such personal information (for information on deletion from archives, see the “Retention of personal information” section);
- object to our processing of your personal information; and/or
- withdraw your consent to our processing of your personal information (to the extent such processing is based on consent and consent is the only permissible basis for processing).
